Lease Information

 

The Lease Information tab is accessed through APPLICATIONS | Account Maintenance Group | Account | Lease Information.

 

This area will allow the user to enter lease information about the selected account.Only one lease at a time can be tracked per account. If additional leases or multiple leasing tenants need to be tracked, it is recommended to create a Tenant sub-account each time a new tenant moves-in to the unit. If you only create Tenant contact records on the main Owner account, the lease information will have to be overwritten as you replace tenant contacts.

 

For example, if a Tenant sub-account has been created, this account will have its own Lease Information record, this will allow to keep track of prior tenant lease information.

The fields in the Lease Information tab are defined as follows:

 

General Information

 

Field

Description

Market Rent

The amount the unit is being rented for.

Last Renewal

The date that the lease on the unit was last renewed.

Occupancy Cert

The date a local government agency or building department issued a certificate stating the building's compliance with codes and laws and indicating it to be suitable for occupancy.

Possession

The date in which the tenants took position of the unit.

Responsibility

The date in which the tenants became responsible for unit.

SSN No.

The tenant's social security number.

 

 

Lease Information

 

Field

Description

Lease Signed

The date the lease was signed.

Lease From

The date the lease begins.

Lease To

The end date of the lease.

Lease Term

Automatically populates with the number of months of the lease based on the dates entered in the Lease From and Lease To fields.

Description

The description of the lease type. The options available here can be created by going to SETUP | Program Defaults | Codes | Program Area: Lease Description.

 

 

Occupancy Information

 

Field

Description

Move In

The date the tenants move in.

Notice

The date the tenants gave notice to move out.

Move Out

The date the tenants moved out.

Reason

The reason the tenants moved out. The options available here can be created by going to SETUP | Program Defaults | Codes | Program Area: Move Out Reason.

 

 

Billing Information

 

Field

Description

Resident

Automatically populates with any billing records setup at the resident level within the account.

Community

Automatically populates with any billing records setup at the community level in SETUP | Property Setup | HOA | Community | Billing.

Total

The total amount billed at the resident and community levels.
