The lower half of the Account record gives the user access to more information about the resident and their account history.
The first tab is the Accounts tab which gives the user a quick glance into the active and prior accounts and residents linked to the unit, as well as the ability to create more sub-accounts and to switch an account from Active to Prior or vice-versa.
The Accounts tab is accessed through APPLICATIONS | Account Maintenance Group | Account | Select an account | Accounts tab.
The fields are defined as follows:

Status drop down menu |
Allows the user to select a status that applies to that particular unit. A couple of examples are to mark those units that are on ACH, or to specify an attorney that the owner's account may be in collections with. More statuses can be added by going to SETUP | Program Defaults | Codes | Program Area: Account Status. |
Coupon |
This field will show the date when the last set of coupons were sent to the resident. |
Welcome |
This field will show the date when the Welcome Letter was sent to the resident. |
Switch to: Inactive/Active button |
Allows the user to turn an Active account into a Prior account or vice-versa. Use cases for switching to Inactive: •No longer need to track Special Assessments on a separate ledger/account. •The Tenant has moved out Best Practice: When making an account inactive, ideally, you should make sure their balance is zero.
User cases for switching to Active: •A new owner was added to the wrong unit which made the real owner a Prior owner. This will change the original owner back to Active. |
Add Account radial button |
When selected and used in conjunction with the Select Account Type dropdown menu and the Manage Account button, the user can create a sub-account for this unit record |
Change Account radial button |
Allows the user to change the type of account that is currently selected. |
Select Account Type drop down menu |
Allows the user to select the type of account to add to the account record or change the current account type to. More Account Types can be created by going to SETUP | Program Defaults | Account Types tab. |
Manage Account button |
When clicked, this button will make whatever changes are selected based on the Add Account and Change Account radial buttons, and the Account Type selected. |
