Export data for a property

There may be instances in which you would like to export every file that has been added in VMS for a specific property, this process is commonly used when the property will no longer be managed in VMS and handed over to another management company. Follow the steps below to export all notes and attachments:

 

1.Go to HOME | iXpert

2.In the Global Property drop down list, select the property.

3.In the Date fields, select the dates that apply to the data to be exported.

4.Click on Research radio button.

5.In the bottom Research Area grid, check the areas you want to include. You can Select All icon or pick and choose the individual areas to be exported.

6.Click on the Find (binaculars) button to start the searching process.

7.On the left side of the screen the iXpert tab will appear listing all documents/files.

8.You can pick and choose the files or Select All button.

9.Once the selection is finalized, click Export button from the Quick Access Toolbar.

10.The Browse For folder box will display where you can either create a New Folder or select an existing folder - all of the selected documents will be saved into that folder. VMS will create a subfolder called the name of the association within the selected folder. Depending on the amount of data involved, this process may take some time.

11.The documents will be categorized into folders indicating the iXpert Area and you will also see an Index.html file under the main folder. Where applicable, it contains links to the actual documents in the export folder.

 

 

Note

You can also use the Report Generator to create any reports – whether PDF or FileFusion – and add them to the same folder created above for the property.
