Journal Entry

The user is able to manually enter journal entries that will effect the GL accounts.

 

The Journal Entry application is accessed through APPLICATIONS | General Ledger Group | Journal Entry.

 

 

Field

Description

Property

Select the property.

Entry

Select the transaction date to be used to post the journal entry.

Set Posted Date

Click the checkbox to use the transaction date as the posted date, this way both dates will be the same date in the general ledger.

Electronic Transfer

Used with banking affiliates that integrate and offer this service. When posting a journal entry from one cash account to another, by checking the checkbox, the transfer will occur automatically as long as the account reside in the same bank, and same property.

Memo

Enter a description for the journal entry.

Reverse Recurrence

Used only when creating a reversal journal entry. Select the number of months in which you would like the reversal to occur.

Reverse Name

Used only when creating reversal journal entry. Type in the name of the reversal entry that will show up in GL Batch screen.

Select template

Used when importing journal entry. Select the type of file to be imported.

 

 

Grid Field

Description

GL Account

Required. Select the chart of account to be affected by the journal entry.

Debit

Enter the debit amount.

Credit

Enter the credit amount.

Journal Type

Optional. Customize Journal Types in Program Defaults | Codes | G/L Journal Types, for ease of identification.

Note

It will automatically fill in with the data entered in Memo field. It can be overwritten.

Department

Required. Select a property Department to post the journal entry.

 

 

Once a journal entry has been started, several buttons in the Quick Access Toolbar will become enabled:

Description

Save

Click to save the current journal entry as a memorized entry. If you continuously make the same entries every month, it is beneficial to save them as memorized entries.

Up

When you have a entry detail record selected, it can be moved up in the grid.

Down

When you have a entry detail record selected, it can be moved down in the grid.

Post

Click post once you are ready to post journal entry. Note: If your Current EOM date is in a different month than your journal entry, you will get Period Verification message: "Date entered is out of period." as an alert that you will be  posting the entry in a different month.

Abort

Click abort to cancel the posting of the journal entry. An Abort Verification message will appear: "Abort entry?", press No to stay on the screen and continue with the entry or press Yes to cancel the entry, by doing so it will remove all the detail entries that have been entered, they cannot be recovered.

 

 

Note

Adjustment reports are printed when posting GL adjustments or batches.  There are two areas that define the printing process:

 

1. Property Setup | Accounting, Report Information, GL Adjustment.  Select the report template used when the system prints the report.  This is definable per property.

 

2. iXpert: The system can be defined to create all adjustment reports as PDF files, which are then attached to each property as a property note.  Check the iXpert definition through Setup | Program Options, Information Xpert, Adjustment Reports.  The definition can be Print Only, Print / Information Xpert or Information Xpert.  If defined as Information Xpert, the system will not print the report, but only store it in the system.  You can look for adjustment reports through the iXpert user panel by selecting GL Adjustment in the Research list.

 

 

Note

If using a participating bank, the Electronic Transfer checkbox will be available next to the Property drop-down.  If used, the system will allow for a bank account to bank account transfer directly through VMS.  Prior to posting an entry, the system will generate a transfer report to allow the user to confirm the transaction.

 

Once the transfer is posted, the same report is created, but with the bank confirmation number and posting date added to it.  The report is created as a PDF file and attached as a property note, which can be accessed through iXpert, FileFusion or Property Notes.
