Screen Layout

The Architectural screen is split up into four sections that contain the main architectural record, Notes, and Tasks related to the request.

Note

You can press the CTRL+F keys on the keyboard to use the Find field to search for a specific word or set of words.

 

Note

The screen contains a vertical divider that can move from left to right, and a horizontal divider that can move up and down. This allows the user to define the best way to view and read the information in this screen.

 

 

ARC Modification Window

 

The top left section (red) is the main architectural record which contains general information about the architectural request.

The fields in this section are defined as follows:

 

Field

Description

Resource ID

Automatically generated by the system.

Received

The date the architectural request is received. Defaults to the current date.

Closed

The date the request is closed. Preferably after a final decision has been made.

Employee

Defaults to the user entering the information into the record. Can be changed by using the dropdown menu provided.

Status

Allows user to select the current status of the request. Previously defined in SETUP | Program Defaults | Codes tab | Program Area: Architectural Status.

Modification

Allows user to select the type of modification being requested. Previously defined in SETUP | Program Defaults | Codes tab | Program Area: Architectural Modification.This field can also be manually overwritten if the dropdown menu does not contain the type of modification being requested.

Condition

Allows user to select the condition that must be satisfied by the resident or owner in order to receive approval for the modification. Previously defined in SETUP | Program Defaults | Codes tab | Program Area: Architectural Condition.This field can also be manually overwritten if the dropdown menu does not contain the type of condition needed.

 

 

Record Information Window

 

The top right section (blue) is the form view of the architectural record. This will show a brief summary of the information entered in the ARC Modification window.

Notes/Letter Merger Window

 

 

The bottom left section (green) contains any Notes and files added to the main record. This is where the user can generate a letter that has been previously defined to pull information from the Architectural fields.

The fields in this section are defined as follows:

 

Field

Description

Entered

The date the note is entered, the file is added, or the letter is generated. Defaults to the current date.

Employee

Defaults to the user entering the information into the record. Can be changed by using the dropdown menu provided.

File Name

The dropdown menu here provides a list of previously defined letters that can be generated in the Architectural record. The user can also use this field to add a file saved elsewhere on their computer. To do this, use the File Open icon, ArchitecturalFileOpenIconv148, to search for the file needed.

Clicking this icon will open the file attached to the note selected.

Enter a note related to the architectural request.

 

 

Tasks Window

 

The bottom right section (yellow) manages any assigned Tasks. This section allows the user to assign this architectural record to another user to then track on their end.

The fields in this section are defined as follows:

 

Field

Description

Created

The date the task is created. Defaults to the current date.

Due

The date the task is due to be completed by.

Assigned By

Defaults to the current user signed into the system.

Assigned To

Select the user that is assigned to this task

File Name

Attach a file related to the task using the Attach File icon, ArchitecturalFileOpenIconv148

Note

Enter a note related to the task.
